1. Information VIA accesses and stores
Depending on the features you use, VIA may access, process or store the following information:
- Google account information: your Google account identifier, email address, display name and profile image URL when you sign in with Google.
- VIA account and device information: VIA account identifiers, device name, device connection status and last-seen/sync timestamps.
- Travel content you enter or import: trips, destinations, routes, itinerary data, notes, reminders, bookings, booking references, booking contact details, costs, checklists, documents, ticket files, images and other travel information you choose to save.
- Contacts: contact details you choose to import or save in VIA. VIA does not upload your entire address book merely because contact permission is granted.
- Vehicle and ride information: motorcycles/vehicles, trip assignments, ride summaries and recorded ride tracks.
- Location data: precise location, timestamps, accuracy and, where available, speed, heading and altitude for ride recording and live-location features.
- Preferences and app state: VIA settings, units, layout choices, shortcuts and other account-synchronised preferences.
- Files and images: booking PDFs, tickets, selected images, ride-track files and backup-related files you explicitly choose to store or sync.
2. Background location
VIA collects location data to enable GPS Ride Recording, Automatic Ride Detection and Live Group location sharing even when the app is closed or not in use.
- GPS Ride Recording uses location to create your ride track and ride history.
- Automatic Ride Detection uses Android activity recognition to detect driving and can start ride recording; background location is required so recording can continue when VIA is not visible.
- Live Group uses background location while sharing is enabled so riders in the group can see your latest shared position even when VIA is not on screen.
Ride locations may sync to your private VIA cloud when you are signed in. When Live Group sharing is enabled, your live location is transmitted to VIA's backend and made available to members of that Live Group. VIA does not use location data for advertising.
3. How VIA uses your information
VIA uses data only to operate and improve the features you request, including account sign-in and sync, trip planning, route calculation, weather, booking organisation, ride recording, live rider groups, Shared Trips, backups, document import and app preferences.
4. Cloud sync and sharing
When you sign in to My VIA, your VIA library can be synchronised through VIA's backend so it is available on your own connected devices. This can include trips, bookings, files, personal checklists and contacts, manual costs, vehicles, ride history, preferences and layout.
Shared Trips sends trip information to the VIA service and to people who use the share code or QR code. Sharing options determine whether supported booking files and automatic costs are included. Personal contacts, personal checklists and personal manual costs are designed to remain private from normal Shared Trips.
Live Group shares your latest location only while you have location sharing enabled for that group. Sharing can be turned off from VIA.
5. Third-party services
VIA uses service providers to deliver specific functionality. Data sent to them is limited to what is needed for the feature being used:
- Google for Google Sign-In, Maps/Routes and weather-related services.
- Supabase for VIA cloud database and file storage.
- Render to host VIA's backend service.
- OpenAI to process travel or booking content when you deliberately use AI-assisted import/extraction features.
- Pexels to retrieve trip imagery based on trip/destination search information.
- Mapbox to provide map and satellite-map content used by VIA's Travel Map.
These providers may receive technical network information such as IP address as part of normal internet communication and process data under their own terms and privacy policies.
6. Camera, contacts, notifications and activity recognition
- Camera: used for QR-code scanning. VIA does not intentionally upload camera frames used only for QR scanning.
- Contacts: used so you can select and save contact information in VIA.
- Notifications: used for ride-recording status, reminders and other user-requested alerts.
- Physical activity / activity recognition: used for Automatic Ride Detection on supported Android devices.
7. Security
VIA uses HTTPS for network transfers. Backend access credentials and service keys are kept server-side. Device access tokens are stored server-side as cryptographic hashes, and sensitive Shared Trip access credentials included in My VIA cloud backups are protected with authenticated encryption. No system can guarantee absolute security, but VIA is designed to limit access to the data needed for its features.
8. Data retention and deletion
Data stored only on your device remains there until you delete it, clear VIA's app data or uninstall the app. Data synchronised to My VIA is retained while the VIA cloud account remains active or until the relevant data is deleted.
Live Group location is intended to be temporary and is cleared when location sharing is disabled, a participant leaves, or the group is ended. Shared Trip data can remain available while the owner keeps that share active.

9. Your choices
You can choose whether to grant location, camera, contacts, notification and physical-activity permissions. Features that require a denied permission will not work until that permission is granted. You can stop ride recording and Live Group location sharing from within VIA.
10. Children
VIA is not designed or directed specifically to children. Users should comply with the age and account requirements of the platform and services they use with VIA.
11. Changes to this policy
This policy may be updated as VIA changes. The effective date at the top of this page will be updated when material changes are made.
